This policy applies to consumer bookings unless a fair course-specific term was clearly shown before payment. School, university, local-authority and partner bookings may be governed by a separate written agreement.
Booking confirmation
A place is confirmed only after successful checkout and acceptance from us. Capacity is allocated according to completed bookings. An abandoned, failed or cancelled payment does not reserve a place.
The booking contact must check learner eligibility, number of places, dates, venue, day and time, collection arrangements, price and prerequisites as soon as confirmation is received, and report an error promptly.
Statutory cancellation rights
Some distance service contracts carry a 14-day cancellation right beginning the day after the contract is made. However, the law excludes certain services, including leisure activities supplied on a specific date or during a specific period.
If a statutory cancellation right applies and you ask us to start the service during that period, we may request an express instruction. If you then cancel, a proportionate amount may be payable for service already supplied. Where the service is fully performed after the required request and acknowledgement, the cancellation right may end. These rules do not affect remedies for a service that is faulty or not as described.
Scheduled clubs, workshops and holiday activities
Many after-school clubs, holiday activities, camps and recreational workshops are fixed to stated dates or a stated period and may qualify for the leisure-services exception. Where that exception applies, the statutory 14-day cooling-off right does not apply and the standard cancellation schedule below applies from confirmation. Where the exception does not apply, the statutory position takes priority.
Standard cancellation schedule
Unless different terms were clearly shown for the programme, the following is the maximum standard deduction:

A cancellation charge is not automatic or punitive. We will consider costs already incurred, service already supplied, the timing of cancellation, our ability to fill the place and other relevant circumstances. If our actual loss is lower, the deduction will be reduced. If the law requires a greater refund, the legal entitlement applies.
Transfers, illness and absence
We may allow a transfer to another suitable date or learner where capacity, eligibility, safeguarding and administration allow. Transfers are not guaranteed and must be agreed before attendance.
Missed sessions, late arrival, holidays or voluntary withdrawal do not normally create an automatic refund. Tell us promptly about serious illness, bereavement or another exceptional circumstance. We will consider reasonable evidence and available transfer, credit or refund options fairly.
Changes or cancellation by us
We may make reasonable changes to rooms, instructors, content or timings. We may also cancel where enrolment is insufficient, a venue becomes unavailable, an instructor is unexpectedly unable to attend, or safety or safeguarding requires it.
If we cancel a paid session and cannot provide a reasonable alternative, we will refund the affected part. If a material change makes the programme unsuitable, we will discuss transfer or refund options. We are not responsible for avoidable travel or accommodation costs unless we expressly agreed them.
Learner information, attendance and conduct
The booking contact must provide accurate information needed for safe delivery and follow venue, attendance, behaviour, supervision and collection arrangements. Only authorised people may collect a child where collection controls apply.
We may pause or end participation where behaviour creates a serious or repeated safety, safeguarding or disruption risk. We will act proportionately, consider reasonable adjustments, record significant decisions and communicate with the responsible adult or organisation. Removal for serious conduct does not automatically create a refund, but any retained amount must remain fair.
Medical, accessibility and support information
Tell us about relevant accessibility, medical, communication, allergy, emergency or support needs as early as possible. We will discuss reasonable adjustments and safe participation. A need for adjustment does not itself justify cancellation or exclusion.
We may need to postpone or decline a booking only where a material risk cannot reasonably be managed in the proposed setting, after appropriate discussion and consideration of alternatives.
Events outside reasonable control
If delivery is prevented by circumstances outside reasonable control, we will take reasonable steps to reduce disruption and offer rearrangement, an alternative, credit or an appropriate refund. We will not rely on this clause to remove mandatory consumer rights or keep payment for a service we do not supply without fair justification.
How to cancel or request a change
Email info@3dprintingacademy.uk with the booking reference, purchaser name, learner name, programme and the requested cancellation or change. The effective date is when we receive a clear request. We will confirm the outcome and any refund calculation in writing.
